Location: West Plains Civic Center in the Exhibition Hall at the end of the arena. The West Plains Civic Center is located at 110 St. Louis Street, West Plains, Missouri 65775. 

What we ask of Vendors
  • Register by 11-02-2018 to be included in program handbook. 
  • Provide samples of your food or drink products for 350-500 guests 
  • Choose a variety of items that showcase your business strengths. 
  • If possible, also provide gift certificates from your business to include in our silent auction. 
  • Please bring flyers, business cards, and other promotional information about your business. 
  • If in the West Plains vicinity, potentially serve as a ticket sales location. 
  • The event is scheduled to begin at 5:30 PM November 16th. 
  • Vendors are asked to have their booths open and running until at least 8:00 PM. If you still have additional product at this time, and would like to continue distributing, you may do so. We will not ask you to start tearing down until 9:00 PM.
  • The area will be open all day on the Friday, Nov. 16th to set up equipment or displays 
  • Please plan to be ready to serve samples by no later than 5:00 p.m. 
What will be provided
  • 8 ft serving table and 8ft display table with a skirt. 
  • Disposable dinnerware (plates, bowls, forks, knives and spoons) 
  • 2 chairs behind your table (more will be available upon request) 
  • 5 tickets to event to cover owner/employees (can give extras away to employees) 
  • Cups for sampling beverages 
  • Water pitchers and rinse buckets will be available for beverage vendors but items MUST be returned (they are not to keep)
Other important information
  • There will be a $50 fee billed to all vendors who cancel their reservations less than 7 days prior to the event or choose to simply not show up on the day of the event. This fee is to cover expenses paid by the Rotary Club of West Plains for marketing and facility rental for the vendors. 
  • Tickets cost $25 in advance and $35 at the door 
  • There will be restaurants involved 
  • Gold level sponsors and up will are encouraged to bring their banner to have it on display at the event
  • Several regional breweries, wineries, and distributors will have beer and wine samples 
  • Entertainment will be provided 
  • Electricity for equipment can be arranged with advance notice 
  • Vendors are permitted to sell small items at their booth only if they have a Missouri state tax ID number from the Missouri Department of Revenue
  • We will advertise using flyers, radio, newspaper, and Facebook
